In summary, the Positive Management Service comprises tenant find and selection, set up of the tenancy and ongoing management and in detail includes:

  • Meeting with you (the landlord) to discuss your property and individual requirements. 
  • Provision of a rental valuation of your property.
  • Arranging for professional photographs, detailed floorplan and EPC for marketing purposes, as required.
  • Extensive property marketing on the major property websites and erection of a professional "To Let Board" at the property, where appropriate.
  • Liaison with potential applicants and undertaking accompanied viewings.
  • Consideration of applications from prospective Tenants and (if required) guarantors in order to assess suitability.
  • Comprehensive referencing of prospective tenants.
  • Undertaking Right to Rent checks to ensure the tenant’s immigration status allows them to legally rent in the UK.
  • Collecting the deposit and registering it with an approved deposit protection service as required for an Assured Shorthold Tenancy.
  • Providing the tenant with legally required documents (How to Rent Booklet, Gas Safety Certificate, Electrical Installation Condition Report, Deposit Prescribed Information, EPC etc).
  • Preparation of a suitable tenancy agreement in accordance with current law and arranging for the agreement to be signed by all parties and dated.
  • Arranging for a specialist contractor to undertake the inventory and schedule of conditions.
  • Undertaking the tenant check in.
  • Providing meter readings to service providers and advising of new tenants names.
  • Contacting the City Council and advising of new tenant names for Council Tax purposes. 
  • Collection of monthly rental payments and forwarding of rent by bank transfer to landlord’s chosen account (less fees and expenses). 
  • Provision of a monthly rental statement detailing payments and deductions.
  • Inspection of the property two to three times a year to ensure that the tenants are fulfilling their obligations under the terms of their tenancy agreement and to check for any required repairs.  A written account of each inspection will be provided to you (the landlord).
  • Initial liaison with the tenant in the event of rental arrears or breach of tenancy condition.  
  • Organisation of repairs and maintenance; instructing a tradesman to attend the property, obtaining estimates where necessary, checking the work and settling accounts.
  • Arranging a full property inspection and inventory/schedule of condition check by a specialist contractor at the end of each tenancy.
  • If necessary, preparing and agreeing a schedule of costs relating to any damage beyond fair wear and tear prior to releasing the deposit.
  • Arrangement of Energy Performance Certificate (EPC) if required.
  • Arrangement of Gas Safety Certificate annually.
  • Arrangement of Electrical Installation Condition Report at five year intervals.
  • Arrangement of Portable Appliance Testing (PAT) if required.
  • Contacting the tenants regarding tenancy renewals and rent reviews.
  • Drawing up renewal documents, as required.
  • Advertising and re-letting the property (1 to 2 months before the end of the tenancy) where required.
